- Job Description
Work responsibilities will primarily focus on clerical and administrative functions supporting the facilities department, Cheif Operations Officer, and the Director of Facilities.
Responsibilities and essential duties include, but are not limited to:
1. Prepares and assists in preparation of payrolls, out of title pay, and attendance for facility staff members.
2. Processes and prepares purchase orders, handles accounts payable for the facilities department, and compiles data for annual budget preparation for the COO and Director of Facilities.
3. Coordinates security access control & identification badge creation and access.
4. Coordinates with phone system company changes, upgrades, ordering equipment, troubleshooting, and installations.
5. Coordinates and acts as liaison for building use scheduler software including account creation, updates spaces, assist with billing for space usage, vetting external users with properer insurance, AED compliance and non-profit status.
6. May assist the Director of Facilities with placing district floater staff and substitute staff in assignments.
7. Coordinates uniform and shoe allowances for applicable district staff.
8. Assists in the coordination of vendor and service contracts.
9. General clerical duties include, but not limited to, answering phones, filing, opening and sorting mail, main door security, inputting work orders, issuing and collecting building keys for staff.
10. And other duties as assigned.

This position is governed by Onondaga County Civil Service. The position is a HELP position and the successful candidate must meet the requirements below:
Minimum Qualifications:
-
Two (2) years of account keeping work experience or its part-time equivalent, the major job function of which is
the maintenance of financial accounts, which must have included reconciling and posting to ledgers, journals and other accounting records; or,
-
Successful completion of 12 semester credit hours in accounting or an associate's degree in accounting from a
regionally accredited college or university or business school or one accredited by the New York State Board of regents to grant degrees; or,
-
An equivalent combination of training and experience as defined by the limits of (A) and (B).

7. Has general knowledge of office equipment, i.e., copiers, scanners, multi-line phone systems, and intercoms. Knowledge of email systems, google suite products, and the ability to learn new software systems.
8. Excellent verbal communication skills and problem-solving skills.
